The Short Version

Helms Performance ("we," "our," or "us") runs this website, helmsperformance.com. We keep things simple: we collect very little information here, we never sell your information, and the health details you share with us as a patient are protected by law and handled separately from this website.

This policy explains what we do collect, why, and the choices you have. It applies to this website only. Questions are always welcome at paul@helmsperformance.com or 301-578-5197.

This website has no contact forms and does not ask you to create an account. If you reach out to us, it happens one of three ways:

Phone or email. When you call or email us, we receive whatever you choose to share, usually your name, contact details, and what you would like help with. We use it to respond to you and schedule your care.
Online booking. The "Book An Appointment" buttons take you to Jane, our scheduling and health records platform, at helmsperformance.janeapp.com. Information you enter there is collected by Jane on our behalf and covered by Jane's privacy policy as well as our clinic's privacy practices.
Our patient newsletter. If you have opted in to email updates, we send a monthly newsletter through MailerLite, an email service provider. Every issue includes an unsubscribe link that works immediately.

Information Collected Automatically

Like most websites, we use a few common tools to understand how the site is used and to make it better. These tools use cookies and similar technologies:

Google Analytics. Tells us which pages people visit, roughly where visitors are located (city level), what device and browser they use, and how they found us. Google Analytics does not tell us who you are.
Google Ads conversion tracking. When we advertise on Google, this tells us that an ad led to a call or a booking click so we know the ad was useful. It reports counts, not identities.
Microsoft Clarity. Shows us how visitors interact with pages, including clicks, scrolling, and anonymized session replays. We use it to find confusing spots on the site and fix them. You can read Microsoft's privacy statement for details.
Google Maps. Our contact page embeds a Google map of our location. Google may set cookies when the map loads.

None of these tools give us your name, and we never connect this browsing data to your patient records.

Your Health Information

This website is not where your health information lives. Anything you share with us as a patient, including your history, exam findings, and treatment notes, is protected health information under HIPAA, the federal health privacy law.

That information is stored in our secure health records system, not on this website, and is governed by our Notice of Privacy Practices, which is available at our office. If you would like a copy, just ask at your next visit or contact us any time.

One practical note: email and standard text messages are not fully secure channels. Feel free to use them to reach us, but if you prefer to share health details by phone or in person, we completely understand.

How We Use Information, and What We Never Do

We use the information described above to respond to you, schedule and provide your care, send the newsletter you asked for, improve this website, and measure whether our advertising is working.

We never sell your personal information. We never share it with third parties for their own marketing. The only companies that handle it are the service providers named in this policy, and only so they can do their jobs for us.

Your Choices

Analytics. You can block analytics cookies in your browser settings, browse in private mode, or install Google's Analytics opt-out add-on.
Newsletter. Click unsubscribe at the bottom of any issue, or ask us and we will remove you.
Your information. You can ask us what information we have about you, ask us to correct it, or ask us to delete what we are not legally required to keep. Patients also have specific rights over their health records under HIPAA, described in our Notice of Privacy Practices.

A Few Housekeeping Items

Security and retention

We keep the information described here only as long as we need it for the purposes above, or as long as the law requires for health records. Our service providers use industry-standard security, and this site is served entirely over HTTPS.

Children

This website is not directed to children under 13, and we do not knowingly collect their information online. We are glad to treat young athletes in the clinic, with a parent or guardian involved.

Changes to this policy

If we change this policy, we will post the new version here and update the effective date at the top. Meaningful changes will be noted plainly, not buried.
